Advesya places the greatest importance and care on protecting private life and Personal Data, as well as to the respect for the provisions of applicable Legislation. This Privacy Notice describes the types of information (Personal Data) that Advesya may collect, the means by which Advesya may collect, use or share your Personal Data; steps that Advesya takes to protect your personal information and choices and rights that You are provided with respect to the use of your personal information.

This Privacy Notice applies to the Personal Data collected on Advesya website.

This Privacy Notice also applies to Personal Data collected by or provided to Advesya as part of activities described in the section “How and Why we process your Personal Data” for Advesya service providers, including consultants and Advesya job applicants.

As an EU based company, for collection, use and retention of personal information, Advesya complies with the EU GDPR (General Data Protection Regulation 2016/679).

Minors

This website is not designed or intended for use by children under the age of 16. We do not knowingly collect any Personal Data on this website from anyone under the age of 16 without the prior, verifiable consent of a parent or guardian. Such parent or guardian may have the right, upon request, to view the information provided by the child and require that it be deleted. Definitions

For the purposes of this Privacy Notice:

How and Why We Process Your Personal Data

On this website, we may request Personal Data about You. Examples of Personal Data that we may collect that directly identifies You includes:

Your name; contact information that You may provide to us; your e-mail address, and other information in combination with these identifiers;

Identification, contact details as well as current and previous education and employment details (such as a CV) or other data required for provision of your services as an employee of Advesya’s Service Provider;

Identification, contact details as well as current and previous education and employment details (such as a CV) or other data that You had provided to us as an applicant for a job at Advesya;

Your Personal Data collected if You are a clinical trial participant or an investigator site staff member is described in a separate notice, which will be provided to You prior to your data being collected for those purposes.

We also may collect certain Personal Data that does not directly identify You by name, but could be used to identify that a specific computer or device has accessed our website (Usage data).

We process your Personal Data on our websites for many reasons, including:

To contact You in response to your requests or inquiries;

To personalize your experience;

To perform website analytics and measure website performance;

To maintain the website, including for security purposes;

To ensure preparation, entering and administration of the contracts with Advesya Service Providers of whom You may be an employee. In such cases Advesya will collect your data based on the contractual necessity or to comply with other legal requirements in the EU such as EU Clinical Trial Regulation (Article 6(1)(b) of the GDPR) and Article 6(1)(c) of the GDPR).

To ensure preparation, entering and administration of the information that is needed for Advesya to process your job application and manage pre-contractual activities with You as a candidate. In such cases Advesya will collect your data based on the contractual necessity or to comply with other legal requirements in the EU such as the employment law (Article 6(1)(b) of the GDPR). Such data will only be retained for the duration of the application process, unless otherwise required by the EU Member State or as per consent obtained from You. If we would like to retain your Personal Data beyond the initial purpose, we will seek your consent, in such cases, the processing will be based on your consent (Article 6(1)(a) of the GDPR).

Information Sharing / Recipients of Personal Data

We may share your personal information in the following situations:

With Service Providers: we may share your personal information with Service Providers to monitor and analyse the use of our Service to contact You;

For transfers of Personal Data to a third country outside the European Union (EU), European Economic Area (EEA) or in absence of an adequacy decision, within the Advesya Group, business partners and service providers, we establish the contracts containing the EU Standard Contractual Clauses, which according to the EU Commission decision of 04 June 2021 (EU 2021/914) constitute appropriate and suitable safeguards to ensure compliance with GDPR.

Retention of Your Personal Data

Advesya will only retain your Personal Data (including usage data) for as long as is necessary for the purposes set out in this Privacy Notice. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

How do We Guarantee the Security of Your Personal Data

Advesya undertakes to protect the Personal Data we collect, or process, against loss, destruction, deterioration, unauthorised access or unauthorised disclosure.

We thus implement all appropriate technical and organisational measures, in line with the nature of the Data and the risks involved with their Processing. The measures may include practices such as limitation of access to Personal Data, pseudonymisation or encryption of the data.

In addition, our practices and policies and/or physical and/or digital security measures (secure access, authentication procedure, backups, software, etc.) are regularly checked and updated if necessary.

Your Rights

You have the following rights with respect to your Personal Data:

The right to request access to the Personal Data that Advesya has about You;

The right to rectify or correct any Personal Data that is inaccurate or incomplete;

The right to request a copy of your Personal Data in electronic format so that You can transmit the data to third parties, or to request that Advesya directly transfer your Personal Data to one more third parties;

The right to object to the processing of your Personal Data for marketing and other purposes;

The right to erasure (deletion/right to be forgotten) of your Personal Data when it is no longer needed for the purposes for which You provided it, as well as the right to restriction of processing of your Personal Data to certain limited purposes where erasure is not possible;

If data processing is based on consent, note that You have the right to withdraw your consent at any time, but that the withdrawal of your consent does not affect the lawfulness of processing based on consent before its withdrawal. In the event of an erasure request, we may retain a copy of your Personal Data for our record-keeping purposes and to avoid entering your Personal Data in our systems after your request.
